Exhibition booth production in Saudi Arabia, from 3D design to dismantling

bilievent designs and builds exhibition stands for brands showing at Saudi trade shows. One team takes your booth from the brief and the 3D, through the drawings the organizer needs, to fabrication, installation, the show days and the take-down.

Booth production is everything between “we booked a space at the show” and “the doors open”: designing the stand, getting the design approved by the organizer, producing every part of it, installing it in the hall, running it on show days and removing it afterwards. In Saudi Arabia that work is usually done by an exhibition stand contractor. bilievent is one, based in Riyadh.

What we handle

You can hand us the whole stand, or only the part you need. Taking the full workflow means one team is responsible for the result.

Brief and concept

We read the exhibitor manual, the floor plan and your goals for the show, then propose a concept that fits the space, the budget and the organizer’s rules.

3D design and renders

Plan view, elevations and photoreal renders so your team can approve what will actually be built. See booth design.

Technical drawings and approvals

Dimensioned drawings, structure and electrical details prepared for the organizer’s stand approval, and the back-and-forth until it is approved.

Fabrication and graphics

Joinery, finishes, printed graphics, counters, display units, flooring and lighting. See booth fabrication.

LED, AV and interactive tech

LED walls, screens, sound and content playback, plus activations such as photo booths or games. See AVL and brand activation.

Installation, show days, dismantling

Transport to the venue, build-up inside the organizer’s hours, a crew on call during the show, then take-down and handover of the space.

How a booth project runs

  1. Send the basics. Show name, stand number, size, open sides and your deadline. The booth request form asks only for what we need, and you can upload the exhibitor manual and floor plan.
  2. Concept and quote. We come back with questions, then a concept, 3D views and a quote that lists what is included.
  3. Design sign-off. You change what you want in 3D, before anything is produced. Changes on paper are cheap; changes on site are not.
  4. Organizer approval. We prepare the drawings and documents the organizer asks for and submit them by their deadline.
  5. Production. Structure, finishes, graphics, electrical and screens are produced and checked.
  6. Build-up. Our crew installs the stand inside the venue’s build-up window, tests lights and screens, and hands it over clean.
  7. Show days. Someone from our team stays reachable for fixes, content changes and anything that breaks.
  8. Dismantling. We take the stand down within the breakdown window and clear the space as the organizer requires.

Starting late? Tell us the date anyway. Small and modular stands can move quickly; we built the Siemens Healthineers stand overnight in a hotel ballroom. Large custom stands need more time, mostly because of organizer approval deadlines. Our booth production timeline shows how to plan backwards from the opening day.

Custom, modular or shell scheme?

Most exhibitions offer two kinds of space: space only, where you bring your own stand, and a shell scheme, a basic package of walls, fascia, lights and furniture supplied by the organizer. On space only you choose between a custom-built stand, a modular system stand, or a mix of both.

The shell scheme vs custom guide goes through the trade-offs in more detail.

What a booth costs

The price of a stand depends on its size, how many sides are open, the structure, the finishes, the screens and lighting, and what the organizer charges separately (power, rigging, badges). We quote each stand on its own brief and list what is included, so you can compare like for like. The booth cost guide explains every cost driver.

Riyadh, Jeddah and the Eastern Province

We are based in Riyadh and build for shows at the city’s main venues: Riyadh Front, the Riyadh Exhibition & Convention Center (Malham) and the Riyadh International Convention & Exhibition Center. For shows in Jeddah and the Eastern Province we plan transport and crew travel into the schedule. See exhibition stand builder in Riyadh and exhibition stand builder in Jeddah, or check upcoming shows in the Saudi exhibitions calendar.

What to send us for a quote

  • The show name, venue and dates
  • Your stand number and size (width × depth) and the number of open sides
  • The exhibitor manual and floor plan, if you have them
  • Your logo and brand guidelines
  • What the stand must do: meetings, demos, storage, hospitality, screens
  • A budget range, even a rough one

Frequently asked questions

Do you only design, or also build?

Both. You can ask for design only, production only (from your own design), or the full workflow from concept to dismantling. The booth request form lets you choose.

Do you handle the organizer’s stand approval?

Yes. We prepare the drawings and documents the organizer asks for in the exhibitor manual, submit them by their deadline and handle their comments.

Do exhibitors need a SCEGA permit for a booth?

The exhibition’s licence is held by its organizer, and exhibitors work to the organizer’s exhibitor manual and deadlines. If you are unsure whether anything else applies to your participation, ask the organizer or send us the details and we will check. Organizing your own event? See SCEGA permits.

Can you add LED screens, sound and interactive experiences to the stand?

Yes. LED walls, screens, sound and lighting are part of what we deliver, and we build activations such as photo booths, live photo mosaics and AI experiences. See AVL production and brand activation.

How early should we start?

As early as you can, because organizer approval deadlines usually come weeks before the show. Our timeline guide gives a planning sequence; small stands can be turned around much faster.

Do you work outside Riyadh?

Yes. We take on shows in Jeddah, the Eastern Province and other Saudi cities, with transport and crew travel planned in.

Can a stand be reused at another show?

Often, yes. The Informatica partner pods were one design built again for two editions of the summit. Tell us if reuse matters and we design for it.
