A conference licence is the SCEGA licence for a conference-type business event. SCEGA groups conferences, forums, symposia and gatherings (مؤتمر، منتدى، ندوة أو ملتقى) together, and lists seminars (ندوة) and lectures (محاضرة) as their own types. Its “Rules and Procedures for Organizing Conferences in the Kingdom of Saudi Arabia” set out how conferences must be organized.
What makes conference files different
- The program carries weight. Topics, sessions and timings should be clear and consistent with the event description.
- Speakers matter. Have names, roles and topics ready, and know early who is travelling from abroad.
- The venue has to fit. Capacity and accreditation should match the expected audience.
- Sponsors and partners should be clear in how the event is presented.

- Check. Confirm the type, the timeline and anything unusual (international speakers, public tickets, an exhibition area).
- Build the file. Program, speakers, venue and organizer documents, prepared with your team.
- Submit and follow up. On the organizer’s SCEGA e-portal account, with quick answers to any questions.
- Run the event, if you want. Venue, stage, AVL, registration and on-site crew, and audience acquisition if you need the right people in the room.

Do I need a licence for a one-day conference?
Conferences are one of the business event types SCEGA licenses. Whether and how a licence applies to yours depends on its format, so send us the details and we check it.
Our speakers come from abroad. Does that change anything?
It adds visas to the plan, which have their own timelines and are decided by the Saudi authorities. Mention it in the request so we plan both together.
