The short answer
A booth’s cost comes from how big it is, how much of it is built rather than rented, what goes on it, and how fast it has to happen. The organizer’s own charges for space, power and services come on top. The fastest way to an accurate number is to send the floor plan and exhibitor manual with a budget range.
What drives the price
| Cost driver | Why it moves the price |
|---|---|
| Size (m²) | More floor means more structure, flooring, graphics and labour. |
| Open sides | An island stand is seen from four sides, so it needs finished walls and graphics all round. |
| Structure | Custom joinery costs more than a modular system; double-deck stands cost more again. |
| Height | Taller walls and hanging signs need more material and approvals. |
| Finishes | Paint and laminate, wood, acrylic, metal and lit features all price differently. |
| LED and AV | Screens, LED walls, sound and playback can be a large share of the budget. |
| Lighting and electrical | Feature lighting and lit graphics add materials and electrical work. |
| Furniture and flooring | Raised floors, custom counters and hired furniture. |
| Activations | Games, photo booths or AI experiences add hardware, software and staff. |
| Timing | Short notice can mean overtime and express production. |
| Location | Shows outside Riyadh add transport and crew travel. |
Costs the organizer usually charges separately
- Space rental (your stand area)
- Power connection to the stand
- Rigging points for hanging signs
- Contractor badges and services such as cleaning or internet
- Late-order fees if you miss service deadlines
These are ordered through the exhibitor manual, often with early-bird deadlines. We tell you what to order for the stand we design.
How to compare quotes
- Is design included, and how many revisions?
- Are screens and LED included, and at what size?
- Is installation and dismantling included?
- Is there crew on site during the show?
- Are furniture and flooring included?
- Is transport included for shows outside the contractor’s city?
- What is excluded (organizer charges, power, rigging)?
Ways to spend less without looking cheap
- Put the money where visitors look: the aisle-facing wall, lighting and one great screen
- Use a modular structure with custom details
- Design for reuse if you exhibit several times a year
- Start early to avoid rush charges
- Upgrade a shell scheme for small spaces (see shell scheme vs custom)
