How to specify corporate printing: paper, page count, binding, finishing and proof approval

A print quote is only as accurate as its specification. One sheet per item, file checks and a proof checklist.

In short: a print quote is only as accurate as the specification behind it. For each item, state the finished size, page count, quantity, paper and cover weight, colours, binding, finishing, any personalised data, the proof you need and the delivery date and address. Missing details are where quotes differ and deadlines slip.

This guide is for corporate communications, marketing and events teams in Saudi Arabia ordering books, booklets, catalogues, brochures, reports, programmes and stationery. Use it to brief any printer, including us. It does not give prices or turnaround times.

Files

  • Print-ready PDF at the finished size, with bleed and a safe margin as your printer specifies
  • Images at a resolution suitable for print, and fonts embedded or outlined
  • Colours set up as agreed: process colours, or named spot colours
  • Arabic text checked for correct shaping and right-to-left order after export
  • One file per item and version, named clearly

If you are unsure about bleed, resolution or colour settings, ask the printer for its file specification before design starts, not after.

Which method?

Quantity, personalisation, colour accuracy, paper and timing decide whether a job is printed offset or digitally. Ask us to recommend a method per item.

Proof approval checklist

  • Names, titles, numbers, dates and contact details
  • Logos: correct version, colour and placement
  • Page order, page numbers and folds
  • Arabic and English text: spelling, direction and line breaks
  • Colours as agreed, especially brand colours
  • Quantity and versions match the order

Rights and content

Print only content you own or have permission to print, including photographs, illustrations and third-party logos. If a publication needs registration numbers or other publishing formalities, arrange them before the print order; they are outside a print specification.
