In short: choose event graphic materials by where the item goes and how it is fixed, not by price per square metre alone. Indoor or outdoor, viewing distance, whether it will be reused, what surface it touches and what the venue allows decide the material. Agree the fixing method with the venue before you print.
This guide is for event and exhibition teams in Saudi Arabia planning backdrops, banners, signs, stickers, floor and window graphics. It gives a practical framework; your producer should confirm the exact material for each item.
Common material families
| Family | Typical uses | Consider |
|---|---|---|
| Printed fabric | Backdrops, tension-frame walls, hanging banners | Light to transport, folds without creasing on the right frame, good for reuse |
| Banner material (flex) | Outdoor and indoor banners, building wraps | Durable, needs hemming and fixing points; consider wind on outdoor sites |
| Mesh banner | Outdoor banners on fences and scaffolding | Lets wind through; image is less dense up close |
| Rigid boards | Signs, room signs, agenda boards, counter fronts | Choose thickness for size and handling; edges and corners need protection in transport |
| Self-adhesive vinyl | Stickers, wall and counter graphics | Removable or permanent adhesive; check the surface and the venue’s rules |
| Floor graphics | Wayfinding and branding on floors | Need a surface suited to foot traffic; check slip resistance and the venue’s approval |
| Window film | Glass doors and windows | Visibility from both sides; venue permission needed |
Five questions per item
- Indoor or outdoor? Outdoor items face sun, heat, dust and wind, so materials, inks and fixing must suit that.
- How close will people be? Items read up close need sharper print and cleaner finishing than items seen from far away.
- Will you reuse it? Reusable items favour fabric on frames or rigid boards stored flat; one-off items can use lighter options.
- What does it touch? Wall, glass, floor, counter or frame. Adhesives behave differently on each surface.
- What does the venue allow? Fixing to walls and glass, hanging, floor graphics and fire-safety documents.
Fixing and installation methods
- Free-standing: roll-ups, frames and stands. No contact with venue surfaces, but they need floor space and stable bases.
- Hanging: from approved rigging points or truss, often installed or approved by the venue’s contractor.
- Framed fabric: fabric pulled into aluminium frames for clean walls and fast changes.
- Adhesive: vinyl applied to approved surfaces; plan clean removal.
- Mechanical fixing: screws or brackets only where the venue explicitly allows them.
Ask the venue whether it requires fire-retardant materials or certificates for graphics, especially for large fabric items and booth walls. Keep the documents ready for inspection.
Installation and removal plan
- Delivery time and route through the venue, including lifts and loading bays
- Who installs each item and with what equipment
- Order of installation, so graphics go up after construction and before cleaning
- Photos of every item in place for sign-off
- Removal time, who removes adhesive items, and what you keep for reuse
Hypothetical example
This example is invented for illustration and does not describe a real event.
A company plans the same backdrop for three events in a year. A printed fabric in a reusable frame costs more than a single banner the first time, but ships in a bag, sets up quickly and is reused twice, with only the graphic changed when the event title changes.
