In short: plan conference branding as a guest route, not a shopping list. Walk the path from the car park to the main hall, note every point where a guest needs to find something or where a sponsor or brand must be seen, and give each point one item with a size, a material and an owner. Then fix artwork, proof and installation dates against the venue’s access times.
This guide is for event managers and agencies planning printed branding for a conference or corporate event in Saudi Arabia: signage, roll-ups, backdrops, stickers and delegate bags. It does not give prices or production times; those depend on the items and quantities.
Step 1: walk the guest route
| Zone | Typical items | Purpose |
|---|---|---|
| Arrival and drop-off | Directional signs, entrance banner | Find the venue entrance |
| Registration | Backdrop or counter graphics, queue signs, category signs | Find the right desk quickly |
| Foyer and networking | Roll-ups, sponsor boards, photo wall | Brand and sponsor visibility |
| Session rooms | Room signs, agenda boards, stage backdrop, lectern graphic | Find the right room, brand the stage |
| Exhibition or partner area | Booth graphics, stickers, floor graphics | Guide visitors to partners |
| Delegate kit | Printed tote bags, programmes, badges | Take-away information |
Step 2: one line per item
For each item, record: zone, item, quantity, finished size, single or double-sided, indoor or outdoor, material if known, artwork owner and installation method. This list becomes the brief for quotes and the checklist for installation.
Step 3: check the venue rules
- Where you may place free-standing items, and fire exits or routes that must stay clear
- Whether anything can be fixed to walls, glass or floors, and how
- Hanging points and whether the venue’s contractor must install them
- Access times for delivery, installation and removal
- Any restriction on outdoor signage near the entrance
Sticking graphics to venue surfaces without permission can lead to removal or damage charges. Ask first and agree the fixing method.
Step 4: artwork and approvals
- One master design with versions for each size, rather than a new design per item
- Arabic and English text checked by a native reader in each language before proofs
- Sponsor logos approved by each sponsor in the version and colour they require
- One person who signs off every proof
Print files should follow the producer’s specification for size, bleed and resolution. For booth graphics in particular, see our booth production page.
Step 5: delegate bags
- Decide what goes in the bag before ordering the bag, so the size fits the programme and any items
- Agree the print area, number of colours and placement of logos
- Plan who packs the bags, where, and when they reach the registration area
- Check delivery quantities against the expected attendance plus a margin agreed with you
Step 6: installation day
Install against the item list zone by zone, photograph each item in place, and do a final walk of the guest route before doors open. Note anything damaged or missing and fix it before guests arrive. Agree in advance what is removed after the event and what you keep.
Hypothetical example
This example is invented for illustration and does not describe a real event.
A two-day forum in a Riyadh hotel needs branding for the entrance, registration, foyer, two session rooms and a sponsor area. The item list has 34 lines. Walking the route shows that two directional signs were missing between the lift and the second room, and that the hotel does not allow stickers on the glass, so window graphics are replaced with free-standing boards.
